RESPONSIBILITIES The Organizer determines who will play in a given tournament, the order in which they will play and which team (foursome) they will play in. He assigns a captain for each team (see Appendix 1) and assigns the player who will put out the closest-to-the-hole gear and the one who will pick up the gear and score the tournament. He informs the Captains of their tee time, team members and reminds them of their duties. The organizer determines the players who will put out and pick up/score from the Branch 116 Golf Web Site. He prepares scorecards for each team showing the course handicap for each player. He informs the course, at the appropriate time, of the number of players in the tournament and determines from the course when the pairings list is due. He monitors the Branch 116 Golf Hot Line for the entire month of his assignment (see Appendix 2) and keeps the appropriate people informed of input he receives during the process.
A few days before the tournament the Organizer passes the pairings list to the Statistician for posting on the web site. As determined above he passes the pairings list to the course for their use. The Organizer monitors the weather conditions and makes the go/no-go decision for the tournament. If a tournament is to be cancelled he sees that this information is posted on the Hot Line in a timely manner. The Organizer arrives at the course well ahead of the first tee time, checks players in, passes out the scorecards with handicaps (two to each team) and makes last minute changes to the pairings as required.
There are three types of 18 hole tournaments: (a) Boundary Oaks, (b) Away and (c) Special Event.
(a) Boundary Oaks tournaments: The Organizer determines who will play from two sources: (1) the branch web site and (2) the phone hot line. The sources should specify whether a player is riding or walking. In case no preference is listed, the default should be riding. In making up teams the Organizer should strive to avoid having a player riding alone on a team. Five days before the event, he should call Jim Burk, Tournament Director at (925) 934-4775 ext 13 to tell Boundary Oak how many foursomes we will have. He provides the pairings list to the course as early as practical. The pairings list should be faxed to Boundary Oak at (925) 934-9128.
(b) Away tournaments: The Organizer determines who will play from two sources: the club Treasurer and the hot line. Messages received on the hot line for Away tournaments should be relayed by the Organizer to the Treasurer who, up to the time of the payment deadline, will make the final determination as to whether a player will participate or be placed on a waiting list. After the payment deadline has been reached, the Organizer will make the final determination. The day after the payment deadline, he should call the course to let them know how many tee times we will be needing.
(c) Special Events: Special events are organized and managed by the Special Events Coordinator and his assistants.
APPENDIX 1: Naming team Captains Team Captains will be named using the following guidance:
The first week of the tournament month, the team Captains will be those men whose last name begins with the lowest letter of the alphabet (a being the lowest and z the highest)
Second week of the tournament month: the second lowest
Third week of the tournament month: the third lowest
Fourth week of the tournament month: the fourth lowest
Fifth week of the tournament month: the first lowest
APPENDIX 2: Monitoring the Hot Line The Organizer should monitor the Hot Line regularly and continue monitoring until the last tournament of the month (which may be a special event) is completed. The Organizer may receive messages from the hot line for Boundary Oaks, Away, Special Events tournaments or nine hole tournaments. The Organizer is to leave the messages for the nine hole group on the Hot Line. For messages for 18 hole play he is responsible to pass these messages along to the proper channel (Away messages go to the Treasurer, Boundary Oaks messages are passed to the proper B.O. Organizer, Special Events messages are passed along the Special Events Coordinator). The B.O. Organizer should also pass along Hot Line sign ups as they occur to the Statistician for posting on the web site. |
